Now Hiring Front Desk Staff: Receptionist/Scheduler

Medicine Buddha & Baan Thai Massage is NOW HIRING front desk staff.

We are looking for an exceptional Receptionist for our Calgary clinic initially for part-time (~25hrs/week) on a 3 month trial basis, with the potential for a permanent position for the right person.

Reporting to the HR Manager & General Manager, the Receptionist is responsible for providing front-line customer service, reception and administrative support to the Calgary Mission clinic. Some specific duties and responsibilities include but are not limited to:

JOB DUTIES

Customer Service

Greet clients on in person and over the phone in a polite and professional manner.
Manage traffic flow of clients and customers in a small, busy space.

Scheduling

Maintain Massage Therapy schedule using online appointment scheduling software, client profiles, and paper schedule
Coordinating number of rooms, number of therapists, appointment types with available resources
Planning the upcoming schedule and modifying on the spot while ensuring that all variables are considered.

Administrative Duties

General clerical office duties including filing, photocopying, scanning, printing and faxing
Create and update telephone lists, schedule books, and client intake forms
Cleanliness of front desk, office, waiting area, and all public spaces
Maintain client records and database.
Maintain filing systems for sales, accounts receivable, and accounts payable.
Maintain recycling of bottles and cartridges

SKILLS REQUIRED

Prior receptionist experience
Prior customer service experience
Provide a positive and professional image
Proficiency in using Microsoft Word, Excel, Outlook, Adobe & Mindbody
Exceptional customer service attitude – approachable and accommodating
Possess excellent verbal and written communication skills
Demonstrated initiative and proven track record for attendance and reliability
Ability to multi-task, prioritize, and work under tight deadlines
Attention to detail is very important
Team building
Analytical and problem solving skills
Decision making skills
Effective verbal and listening communications skills
Time management skills
Be flexible
Multi-cultural and multi-lingual sensitivity and respect
